SHOW GUIDELINES, EXHIBIT STANDARDS AND PROCEDURES
The West Carleton Arts Society strives for all artists to present professional looking artwork to our clients at all events.
All artwork submitted to any of the exhibit venues and art shows must comply with the following exhibit standards. The only exceptions to these standards are noted below the actual standards with a *.
The West Carleton Arts Society, Venue Coordinator(s) or the Art Show Coordinator(s) have the right to refuse artwork that does not meet these criteria and/or is not deemed appropriate for the venue or Art Show. This decision is final.
SHOW GUIDELINES
1. In order to distinguish between original works of art and art reproductions, the Show Committee has defined an original work of art as follows:
An original work of art is a work in any medium, created directly by the artist from raw materials without any intervening commercially procured process, intended as a communication between the artist and his/her audience and which inextricably and unavoidably expresses the artist’s personality.
NOTE - Artists are responsible to maintain ethical practices in the production and selling of artwork, including the production of original work and the respect of copyright laws and fair use practices. If an artwork is deemed to be an infringement of copyright, WCAS absolves all liabilities and it is the responsibility of the artist to defend their work. Please see 'Ethics in Art Making'.
Some notes are necessary to complete this definition:
The Show Committee may, on application from the artist, accept work that does not adhere to these rules if it agrees that the deviation is necessary to the integrity of the artwork.
2. Given this definition, the Committee then made the following rule: Only original works may be hung for display at our Shows.
3. Prints and cards are allowed, but all prints must be limited editions.
4. Work produced from commercial moulds or kits is not allowed.
5. All artwork must adhere to WCAS Exhibit Standards. (See below)
6. Due to the family-oriented nature of the visitors to WCAS shows, the Show Committee, upon consultation with the WCAS executive, reserves the right to ask artists to remove work which it deems to be offensive to the intended audience.
7. The catchment area for exhibiting artists will be 100 km from Carp.
Additional Guidelines for Photography:
1. Adherence to the Show Guidelines and Exhibit Standards. If questionable, please consult the show coordinator.
2. Displayed prints are allowed but must be limited edition signed prints.
3. All media and inks must be archival.
4. Exceptions with regards to having photos printed on metal, wood, or a material other than paper, where a commercial printer in used, must be approved by the coordinator/committee/WCAS executive in advance.
5. Framing must meet archival and gallery standards.
6. Frames must be ready for hanging, properly sealed and finished
Additional Guidelines for Artistic Creations ($200 and Under) Show
1. NEW FOR 2020: Items must be priced $200 and under and the 20/20 Rule applies. Only 20% of the artist’s space can be priced below $20. Cards are accepted in addition to the regular items. Any small items must be submitted and accepted by the committee in addition to their regular items. Artists may not bag multiple sale items for a customer. This must be done at the central cash after payment.
2. All artwork must be of high calibre and all fine craft items must demonstrate a high quality of craftsmanship.

EXHIBIT STANDARDS
All artwork submitted to any of the exhibit venues and art shows must comply with the following exhibit standards criteria. The West Carleton Arts Society, Venue Coordinator(s) or the Coordinator of Art Show has the right to refuse artwork that does not meet these criteria and/or is not deemed appropriate for the venue or Art Show. 1. Work must be the original work of the member.
2. Frames, where used, should be of solid construction and undamaged. Glass, if used, should be clean inside and out.
3. Artwork must be ready to hang with secure D ring hardware (eyelets are not acceptable) and strong wire attached to each. Wire ends where twisted at the D ring must be wrapped with masking tape to prevent injury to the handlers from strands of the wire. *
4. The D rings should be installed 1/3 from the top of the artwork for small and medium sized artwork and ¼ for large pieces. Ensure that the wire used is not too high to the top of the artwork nor strung too tightly. See video below.

- Commercially procured processes include services provided by hired print shops, outsourced screen printers, commercial photography labs and so on. *

5. Edges on unframed gallery depth canvas and gallery panels, 1” or greater, must be painted and not have any staples visible on canvas pieces.
6. Shallower depth canvas, less than 1” must be framed. *
7. Artwork on paper and or hardboard must be framed. *
NOTE: *Permitted exemptions to the above standards - Participants in the Artistic Creations ($200 and Under) Show only are permitted latitude on items # 3, 4, 6 and 7. Artwork may be exhibited to this event without a frame provided the canvas edges are painted and free from staples. Artwork on paper or hardboard should be professionally presented.
8. A label must be securely attached to the back of the artwork clearly identifying the artist’s name, title of artwork, medium, size and price. This information must correspond to the Pricing Card/ Label information. Please see this link for further framing and label information.
9. Artists submitting artwork must be in good standing with the organization and with paid up membership fees prior to submitting an application.
10. Artists must sign a waiver in order to exhibit at any special venues with the exception of the Expressions of Art and the $100 and Under.
11. Artists must not remove their work until the end of the exhibit/show with the exception of the Expressions of Art and the $100 and Under.
12. Members should take note of, and comply with any additional criteria issued regarding each exhibition/venue. Additional criteria may include items such as: size, theme, presentation and may be juried in order to qualify.
13. Any damage to or loss of artwork is the responsibility of the artist.
14. Artists should ensure that their artwork is as damage proof as possible as various individuals will handle the art.
PROCEDURES FOR SHOWS
1. The shows will be run with a central cash. This means that customers will be able to select works from multiple artists/booths and proceed to the cash table to complete their purchase as a single sale. All artworks sold at the show, including cards and smaller items, must go through the central cash, and will be subject to the agreed-upon commission of 5%. Deposits on artwork to be delivered after the sale, if handled at the central cash, will be subject to the commission. The balances owing on the work, or works which are sold after the show, are also subject to the sale commission.
2. Because all sales will be handled at the central cash, all works, including cards and smaller items, need to be labelled with the artist’s name (or identifier), price, and inventory number if appropriate. WCAS central cash accepts payment by cash, cheque, Visa, MC, and some debit cards. We use the Square system.
3. Artists will receive payment for their sales (less the agreed upon commission) within a few weeks of the show.
4. All artists are expected to staff their booths at all times during the show, unless they are on volunteer duty. Artists who are not present will not be invited back.
5. The success of the show depends on the efforts of everyone. A volunteer schedule will be created based on the choices you selected on your application form. We will make every effort to accommodate everyone’s skills and schedules.
6. There will be a postcard and flyers for the show for advertising. All artists are expected to pick up as many as possible for distribution in their art circles.
7. The maximum height of any freestanding display is 5' from the floor, 3’ on top of a table. This includes any items on display, event decorations, etc., and is intended to avoid one display visually blocking another. The grids will be set up and taken down by WCAS. Artists may not take down their displays before the end of the Show. Artists who take down their display before the end of the show will not be invited back. Black backing material is MANDATORY on the grids. If you are backing onto someone else, you may need stretchy material that you can hang through, or a system of chains and hooks. The show layout may or may not be sent to all participants prior to the Show.
8. All displays must be sturdy enough to withstand reasonable wear and tear during the Sale. In the event that a product or display is causing difficulty, the Show Organiser may, after consultation with the Show Committee, request that the owner fix or remove the problem.
9. If using lights, please ensure that they are directed away from other artists’ booths. All cords must be gaffer taped to the floor. Please no masking or duct tape.
10. Artists may, entirely at the artist's own risk, choose to allow a customer to take a piece home on approval. The central cash will not process a deposit or a conditional sale unless the deadline for the return of the work is before closing on the last day of the Show. If a deposit or conditional sale has been processed through the central cash, and the work is returned, the customer will be refunded their full payment. If the work is returned after the Sale, the artist will be responsible for refunding the customer the amount paid, and the WCAS will not refund the deducted sale commission.
11. The West Carleton Arts Society is not responsible for the loss, damage, or breakage of any artwork at the sale, which is not directly caused by the handling of the work at the central cash. We recommend that artists insure their artwork.
12. Given the highly variable nature of artwork, the Show Committee may, as necessary, and upon application from an artist, make changes or exceptions to the above rules. Exceptions will be one-time only, and will not be considered as setting precedents for future Shows.
POLICY REGARDING UNCLAIMED ARTWORK
It is an artist’s responsibility to pick up their artwork from shows and venues on the designated days or to make other arrangements for their art to be picked up. Unclaimed art requires extra effort on the part of volunteers and the organization.
Effective immediately, any unclaimed art will be held in the storage locker at the artist’s full risk for 30 days, after which, it will be considered the property of West Carleton Arts Society for appropriate donation or disposal.
Artists who do not claim their artwork risk affecting their membership standing andability to participate in other WCAS shows, venues and events.
